Preparing an evidence pack without rewriting the farm plan

An audit-ready pack is not the same as a polished presentation. Its value lies in traceability. Reviewers need to know which budget is current, where each amount came from and what changed between versions.

Freeze the submitted version

Save the application and budget exactly as submitted. Date subsequent revisions rather than overwriting the file. If the funder asks for a correction, include a short change note identifying the affected lines and reason.

Give every cost line a reference

Use a simple index that pairs the budget line with quotation name and page. A R680,000 irrigation total may point to several supplier documents; those components should also reconcile back to the requested amount.

Retain unsuccessful quotations

Do not remove a higher quotation merely because another supplier was selected. Competing offers show how specification, availability and delivery affected the choice. If only one supplier can provide an item locally, explain the constraint.

Explain—but do not alter—supplier records

An applicant-created note can clarify that a tunnel quotation covers two structures or that delivery will be paid from own funds. It should not edit the quotation or recreate it on the supplier’s behalf. Ask the supplier for a revised, attributable document when their offer is wrong.

Separate assumptions from commitments

Working-capital estimates may rely on expected prices, while equipment should have a supplier offer. Label forecast, benchmark and quoted costs distinctly. The reviewer can then apply the appropriate test instead of treating every number as if it had the same certainty.

Check the final arithmetic

Recalculate subtotals, VAT, own contribution and funding requested. Confirm that quantities in the narrative—hectares planted, animals purchased, cycles funded—match the budget units.

A disciplined pack does not guarantee acceptance. It makes the strengths and gaps visible early enough to address them honestly.
